Set Up a Digital Listing That Delivers Properly

Configure the listing type correctly, package your files within Etsy's limits, and write the description that prevents the questions digital buyers actually ask.

Why this matters

A digital listing fails differently from a physical one. The buyer pays, the delivery is automatic, and if you configured something wrongly they find out before you do. Most of the problems are prevented by decisions made before you upload anything — how the files are packaged, what they're called, and what the description promises.

Packaging files within Etsy's limits

Etsy allows up to five digital files per listing, and each file must be 20MB or smaller. Both limits are hard, and they shape the product more than beginners expect. Five slots sounds generous until you want to offer six planner pages in two paper sizes. The answer is a .zip, which counts as a single file and can hold as much as you like — as long as the .zip itself stays under 20MB.

Two ways to use the five slots

The mixed approach is usually the most considerate: the buyer can open the instructions immediately even if they can't unzip on the device they're using.

Setting the listing up

The settings specific to a digital product

    Choose Digital files as the item type

    Under "What type of item is it?", select Digital files. This is what turns on automatic delivery and reveals the file upload area. It is the single most consequential setting on the page.

    Upload the files you prepared, already named

    Etsy will not let you save or publish an instant-download listing with no file attached, which is a helpful guard. Check the uploaded names read the way you intended.

    Use made-to-order only if you're personalising each file

    Setting "When did you make it?" to Made To Order creates a listing where you upload the finished file when completing the order instead of at listing time. Choose it only if you genuinely customise each order — it removes the instant delivery that makes digital products convenient.

    Write your shop-wide note for buyers

    You can set one note that appears on the Downloads page for every digital listing in your shop. This is the right home for the download instructions, because you write it once and it applies everywhere.

The images are the product

A buyer considering a physical item can see the thing itself. A buyer considering your printable is looking at pictures of a file. Everything they will use to decide — what it looks like, what's included, whether it suits them — has to be visible in your images. This is where effort pays off most on a digital listing, and it is usually where beginners spend the least.

Writing what's included

A digital description does one job above all others: remove every reason for a buyer to be surprised after purchase. Nearly every refund request on a digital product traces back to something the description didn't say.

State all of these explicitly

  • Exactly what's included — number of pages, number of files, what each one is
  • The file formats, and what the buyer needs to open them
  • The paper sizes included, named as US Letter and A4 rather than assumed
  • That this is a digital download and nothing will be posted
  • That files can't be downloaded in the Etsy app, and to use a browser or computer instead
  • Whether anything is editable, and if so what is and isn't editable
  • That colours vary between printers and papers, which sets expectations before they're disappointed
  • Your policy on digital refunds, stated plainly

What a $9 six-page set actually returns

You list the six-page planner set from the previous lessons at $9.00, in both paper sizes, as a US seller. Your design time cost $49.50. Ten copies sell in the first month.

Ten sales at $9.00 returned $76.75 after fees, repaying the $49.50 of design time and leaving $27.25. Every later sale returns roughly $7.70.

Two things worth noticing. The listing fee recurs — with auto-renew on, the listing renews after each sale, so it is charged per sale rather than once. And fees come to about 14.7% here rather than the 10-11% often quoted, because the two flat fees weigh far more heavily at $9 than at $30. Neither figure includes Offsite Ads, which would take a further 15% of any order it produced.

Open the Digital Product Profit Calculator

You will produce: Profit and break-even for your product, modelled at a low, moderate and optimistic monthly sales volume.

Then ask yourself: Look at the pessimistic column first. If the product still makes sense when it sells a handful of times a month, it is a sound product. If it only works at the optimistic volume, the price is doing too much work and the product needs to be bigger, priced higher, or reconsidered before you build more like it.

Common mistakes

  • Leaving the listing type as physical

    Automatic delivery never switches on. The buyer pays and waits for something that will not arrive, and you find out from an unhappy message.

    Instead: Choose Digital files under "What type of item is it?" and confirm the upload area appears before continuing.

  • Uploading files with working names

    Buyers see the names exactly as uploaded and Etsy cannot rename them afterwards. "final_v3_FIXED.pdf" is the last impression of a purchase.

    Instead: Name every file descriptively before uploading — product, page count and paper size — within 70 characters.

  • Promising SVG as a loose file

    SVG is not on Etsy's supported list, so the upload fails or the format silently isn't delivered as promised.

    Instead: Deliver SVG inside a .zip, and check Etsy's current supported list before naming any format in your description.

  • Not saying that the app can't download files

    Most buyers open Etsy on their phone in the app, find no way to download, and message you assuming something is broken.

    Instead: Say it in the description and in the shop-wide buyer note: use a mobile browser or a computer, and files can be re-downloaded any time from Purchases.

  • Showing one flat screenshot as the whole image set

    The images are the only way a buyer can judge a file they can't hold. One thumbnail gives them almost nothing to decide on.

    Instead: Show it in use, show every page, state what's included as text on an image, and show the paper sizes.

  • Expecting a size dropdown to exist

    Digital listings can't offer variations, so there's no way to let the buyer choose US Letter or A4 at checkout.

    Instead: Include both sizes in the delivered files and say so clearly in the images and the description.

Illustrative Beginner Scenario

Sam, first digital listing

Situation
Sam had a finished, print-tested planner set and published it quickly, keen to have something live.
What went wrong
The listing type stayed on physical, so nothing was delivered automatically. The files were named after his working versions. The description said "6 pages, instant download" and nothing else — no paper sizes, no mention of how downloading works.
What changed
The first buyer messaged asking where the parcel was. Fixing it meant switching the listing to digital, removing and re-uploading the files under buyer-facing names, adding both paper sizes, and rewriting the description to state what was included and that downloads don't work in the Etsy app. He also wrote a shop-wide buyer note so it applied to future listings automatically.
Result
The corrected listing delivered automatically and answered the questions that had generated messages. He had also learned the cheaper lesson: every one of those problems was a setting or a sentence decided before publishing.
Lesson
Digital listings fail at setup, not at delivery. The five minutes spent on listing type, file names and an explicit description prevent nearly every problem a printables shop generates.

Try it yourself

Build the listing without publishing it

  1. Package your files: decide what stays loose and what goes in a .zip, keeping each file under 20MB and the total within five slots.
  2. Rename every file the way a buyer should see it, within 70 characters.
  3. Write a one-page instructions PDF covering downloading, printing and contacting you.
  4. Create the listing, set the item type to Digital files, and upload your packaged files.
  5. Build at least four images: the product in use, a grid of every page, a text overlay of what's included, and the paper sizes.
  6. Write the description against the checklist, then add a shop-wide buyer note about downloading outside the app.

Confidence check

Before you publish, check you can answer these:

  • Can you state Etsy's two hard limits on digital files?
  • Do you know why file names have to be right before upload rather than after?
  • Can you explain what a buyer has to do to download, and what won't work?
  • Do you know why there's no paper-size dropdown on your listing?
  • Have you stated the paper sizes, page count and formats explicitly in the description?
  • Have you modelled the product at a pessimistic sales volume, not just an optimistic one?

These two are the cheapest fixes before publishing and the most expensive afterwards — file names can't be edited once uploaded, and unstated details are what refund requests are made of.

Questions people ask

How many files can I upload to an Etsy digital listing?

Up to five files, each 20MB or smaller. Both limits are hard. A .zip counts as one file, so bundling is the normal way to deliver more than five items — as long as the .zip itself stays under 20MB.

Can I upload SVG files to Etsy?

Not as a loose file. Etsy's supported types are .bmp, .doc, .gif, .jpeg, .jpg, .mobi, .mov, .mp3, .mpeg, .pdf, .png, .psp, .rtf, .stl, .txt, .zip, .ePUB and .iBook. SVG is not among them despite many guides claiming otherwise, so SVG files must be delivered inside a .zip.

Why can't my buyer download their files?

Most likely they're using the Etsy app, which cannot download digital purchases. They need to sign in through a mobile browser or on a computer, then download from their Purchases page. There are generally no limits on when or how often they download. Stating this in your description and shop-wide buyer note prevents most of these messages.

Can I offer different paper sizes as listing variations?

No. Digital listings cannot offer variations, so there's no size dropdown. Include both US Letter and A4 in the files you deliver and say so clearly in your images and description, or create separate listings for each size.

Can I change a file name after uploading it to Etsy?

No. Buyers see the file names exactly as uploaded and there's no way to edit them afterwards — you have to remove the file and upload a replacement. Names are limited to 70 characters using letters, numbers, periods, underscores or hyphens, so decide them before you upload.

Can a digital-only shop become a Star Seller?

Yes. Shops selling only digital items are eligible, and the dashboard simply omits the on-time shipping and tracking score. Note that Etsy states Star Seller does not directly affect where listings appear in search results, though it can act as a trust signal to buyers.
