Admin time cost = (Admin minutes ÷ 60) × Hourly rate · True chargeback loss = Order amount + Product cost + Shipping + Packaging + Chargeback fee + Lost fees + Admin time cost · Monthly = Loss × Chargebacks per month

Worked example

$80 order, $20 product, $8 shipping, $1.50 packaging, $15 chargeback fee, $2.60 lost fees, 45 minutes at $25/hour, 2 per month.

  1. Admin time = 0.75 × 25 = $18.75
  2. True loss = 80 + 20 + 8 + 1.50 + 15 + 2.60 + 18.75 = $145.85
  3. Monthly = 2 × 145.85 = $291.70

How it works

A chargeback is not a refund. You lose the revenue and the product, you pay a dispute fee, you don't get the original payment fees back, and you spend time gathering evidence. That's why fast, friendly customer replies are almost always cheaper than a dispute.

How to interpret your results

  • Dollar values are shown per sale, per order, or per item unless a result is explicitly labelled monthly, weekly, or daily.
