Total refund impact answers “how much did this refund cost us?” Final order profit / loss answers “did the whole order end up profitable?” — two different questions.

Short example

A $50.00 order is fully refunded. Product cost $18.00, outbound shipping $6.00, $1.50 nonrefundable fees, no recovery. Total refund impact ≈ $75.50, and the final order ends at a $25.50 loss.

All calculations are estimates based on average platform fees. Real profits may vary depending on category, ads, and shipping.

How to use this calculator

  1. Enter your numbers in each field above — the calculator updates instantly as you type, so there's nothing to submit.
  2. Use your real figures when you have them, or sensible estimates while you're planning. If a field doesn't apply, leave it at zero.
  3. Compare the results, then change one input at a time to see how each lever (price, cost, fees, volume) moves the outcome.

Formula

Refund loss = Refund + Non-refundable fees + Outbound shipping + Ads + Product cost − Recovered value

Worked example

$45 refunded, $12 cost, $1.50 non-refundable fees, $6 shipping, $2 ads, $10 recovered by reselling.

  1. Money returned = $45
  2. Extra losses = 1.50 + 6 + 2 + 12 − 10 = $11.50
  3. Final order = −$45 refund + $10 recovery − 12 cost − 6 ship − 2 ads − 1.50 fee = −$56.50

Answer: $56.50 total money-side loss

How it works

Refunds don't just reverse the sale — they reverse the profit and leave you with the fixed costs. Non-refundable fees and outbound shipping stay gone even after a full refund.

How to interpret your results

  • Dollar values are shown per sale, per order, or per item unless a result is explicitly labelled monthly, weekly, or daily.
  • Percentages (margin, ROI, conversion rate) are easier to compare across products and price points than raw dollars — use them when you benchmark.
  • A positive result means you're ahead after the costs and fees you entered. A negative result means the current numbers don't work — change a lever (raise price, cut a cost, lower ad spend) and recalculate.
  • Treat the output as a planning estimate, not a guarantee. Fees, taxes, and conversion rates shift over time — re-run the numbers whenever a key input changes.

Common mistakes

  • Assuming a full refund is neutral — you still lose fees, shipping, and time.
  • Forgetting to count product recovery if the item comes back saleable.
  • Mixing physical return costs (labels, inspection) in here — use the Return Cost Breakdown for that.

FAQ

What's the difference vs Return Cost Breakdown?
Refund = the money side. Return = the physical logistics side (labels, inspection, damage). Both apply if you take the product back.
Are Etsy/Shopify fees refunded?
Payment processing is usually refunded; marketplace transaction fees vary by platform and reason. Enter what your platform actually returns.
